Privacy Policy¶

This Privacy Policy describes how Armory Bot ("we", "us", "our") collects, uses, and protects information when you use the Armory Bot Discord bot, dashboard, and documentation site.
1. Scope¶
This policy applies to:
- The Armory Bot Discord bot and its command features.
- The Armory Bot dashboard and API-backed configuration pages.
- The public documentation site.
2. Information We Collect¶
We collect only the data needed to operate and secure the service. These pieces being your Discord UserID (submitting bug reports / feature requests), your Discord account (used for Discord OAuth login for dashboard) and actions by the logging feature (information is discarded unless logging feature is setup, and then any information collected is visible in the logs channel.)
2.1 Discord and Server Metadata¶
- Discord user IDs, guild (server) IDs, channel IDs, role IDs.
- Command invocation metadata (for example, timestamps, command group, actor ID).
- Configuration data for enabled features.
2.2 Feature Data You Provide¶
Depending on enabled features, this may include:
- Moderation reasons, warning records, and case notes.
- Economy, leveling, timer, and event records.
- Welcome/logging configuration values.
- Tag and trigger content.
- Issue report submissions (title, description, optional repro/use-case text).
2.3 Integration Data¶
The AI agent utilizes Gemini-Flash running locally, and is currently configured to ship bug reports and feature requests to Github. Gemini utilizes no user data, while the Github reporting flow logs Discord UserID to assist in following up with users in the support server.
2.4 Website/Operational Data¶
- Basic site access and operational logs needed for reliability and abuse prevention.
3. How We Use Information¶
We use data to:
- Provide bot features and server automation.
- Enforce permissions, rate limits, and anti-abuse controls.
- Maintain service reliability, diagnostics, and auditing.
- Process approved issue-report workflows to GitHub.
- Improve product quality and operational security.
4. Sharing and Disclosure¶
We do not sell personal data.
We only share data when absolutely necessary, such as:
- Service providers required to run the platform.
- Third-party platforms requested by a feature workflow (for example, Discord for Oauth login and GitHub for bug / feature submissions).
- Legal authorities when required by law. The extent of data collected that could be shared in this manner is your Discord UserID and current Discord screen name.
5. Data Retention¶
We retain data only as long as needed for active service operation, auditing, abuse prevention, and legal obligations.
Retention varies by feature and server configuration.
6. Security¶
We use reasonable technical and operational safeguards to protect stored data. No system can guarantee absolute security. Please be on your toes on the internet. Do not click any links that you did not request, even from a trusted source.
7. Your Choices and Requests¶
Server owners and administrators control most configuration data in their guild.
For privacy-related requests (for example, access or deletion requests where applicable), contact us through the project support channel listed in repository and docs metadata.
8. Children's Privacy¶
The service is not directed to children under 13. If you believe data was provided by a child under 13, contact us to review and remove as needed.
9. International Use¶
Data may be processed in regions where our infrastructure or providers operate.
10. Changes to This Policy¶
We may update this Privacy Policy to reflect service or legal changes. The effective date at the top indicates the latest revision.
